Aside from the reporting functionality of Business Intelligence, ADvance has a series of pre-defined financial and logistical reports that are designed to cover a wide range of reporting needs. On this page, we are focusing on a handful of common reporting needs and questions and suggesting which report will provide the information needed.

    How can I see a snapshot of orders placed within a timeframe so that I can look for trends and ordering habits?

    The Order Analysis report allows you to select a date range and it will return a list of all orders placed within that date range. This report can be located in ADvance by navigating to Audience Reporting > Reports > (Report type: Financial) > Order analysis report.


    The exported list contains many useful fields that will give you information about these orders and their origin including:

    • Whether it’s a new order or renewal (if a renewal, then it shows which renewal effort led to the order)
    • Which product offer was used
    • The price paid for the order
    • Country
    • Type of order (e.g Corporate/Complimentary/Paid etc…)


    The exported data can be pivoted and filtered to obtain quick counts and spot trends or ordering patterns. For example, here is a pivot table created from the order analysis output that shows the number of new orders vs renewals over a period of a few months:


    How can I see how much money has been received into the system over a period of time? / How can I check that money received into our bank matches what has been ‘paid’ into the system?

    The Bank Transaction Detail report provides a list of orders, and details all kinds of payment-related information such as the currency used, payment method, amount and date of payment. This report can be located in ADvance by navigating to Audience Reporting > Reports > (Report type: Financial) > Bank transaction detail. Orders appear in this report on the date of payment as opposed to the date of placement; this means for example that a Direct Debit order will not appear on the date it is placed in the system but on the date the first payment is taken (and therefore received into the system).

    By creating an Excel pivot table on the report data you can create a list of payments by date and payment method which will help you reconcile the money received into ADvance with the subscription-related funds received into your bank account. Here is an example:

    Some customers have cancelled their annual subscriptions midway through the year. How can I check what liability is left on these?

    The Liability By Client report provides a breakdown of the total liability per product, breaking information down to the product fulfilment value per party within an order. The report can be found by navigating through Audience Reporting > Reports > (Report type: Financial) > Liability by Client.

    Liability is calculated as the total amount of money received for orders which have not yet been released/earned, usually due to subscribers paying for future entitlement. The value of these entitlements is referred to as ‘Fulfilment value’ as it is released once the entitlement has been fulfilled e.g. a print magazine has been mailed. Often defined as the sum that would theoretically have to be refunded to subscribers in the event of the closure of a product.

    By creating an Excel pivot table of the report, you can see a cross-section of your customers and the total liability they have:

    How can I see a breakdown of unpaid invoices?

    To view unpaid credit invoices, navigate to the Unpaid Invoice report via Audience Reporting > Reports > (Report type: Financial) > Unpaid Invoices with Summary.

    Run the report and within it, you can create a pivot table to view the total unpaid invoices over a range of attributes like Order Type, Company, Subscriber or by Transaction Date. As an example, the unpaid invoices report has been pivoted and ordered by order type.

    Make sure to tick the order statuses you wish to be included out of ‘Live’, ‘Expired’ and ‘Suspended’ and click ‘Run report’. 

    You can pivot the output data to get a basic list of invoice numbers, date of placement and amount due. In the pivot table below, we’ve pivoted the order numbers against their values, split by currency.



    For each of the issues of our publications, how can I see the total released revenue?

    For this, you need the Release revenue by IFR issue report. The report can be found by navigating through Audience Reporting > Reports > (Report type: Financial) > Release revenue by IFR issue. Enter the time frame you want to view, enter the brand, product and issue. Select which currencies you want to view, the statuses and run the report.

    In the snapshot of the report below, you can see the total liability as ’currency amount net’ for the products, split by payment method and currency.
